Getting Ready
  1. Come to an open lab where you can walk through the software with on-site help.
  2. Don't have time for a lab? Review the online simulations for the 2009 and 2010 process in Lead@UVa.
  3. Review the document, Writing SMART Goals.
  4. Ask your supervisor for a meeting to discuss how you will finish out the 2009 evaluation cycle using the new software, and to help you create your SMART goals and identify 3-5 competencies and a development activity for 2010.
  5. When you are ready to enter information into the new software, Lead@UVa, follow the steps below.

I know the process - how do I use Lead@UVa - the software tool?

  2. The first thing you see is your dashboard and a “To Do List.” There will be two tasks in your To Do List: 2009 evaluation form - step 1 and the 2010 evaluation form - step 1.

    To complete the 2009 performance evaluation cycle:

  3. The first step is to perform a self-evaluation. Choose Performance Goals. If you prepared goals in 2009, you can enter them one at a time in the spaces available. Enter a goal, rate yourself on it on the 1-5 scale, and enter comments if you wish. Enter your next goal by clicking “add performance goal”.

    If you do not have any goals from last year, simply rate your job performance (the pre-populated goal you see in the box) on the 1-5 scale.

    Next, go to the ratings tab and give yourself an overall rating for the year on the 1-5 scale. Then click "Send Forward" to send your form to the next step in the system workflow.
  4. Once you have completed your self-evaluation, your supervisor will rate you, then will submit the form by selecting "Send Forward" which sends your evaluation forward to your Reviewer.
  5. Once the Reviewer has the 2009 form, he/she will complete the calibration process. Calibration allows supervisors to review all the evaluations in a school or unit together to ensure consistency and fairness.
  6. After calibration, the Reviewer electronically signs the form and clicks "Send Forward" which moves the evaluation to the next step - the supervisor’s signature. They will sign the form and send it back to you.
  7. BEFORE you receive, review or electronically sign your evaluation, MEET WITH YOUR SUPERVISOR to discuss your evaluation. Once this meeting has occurred, then select the "Signatures" tab, check the box that acknowledges you have met with your supervisor, then click the "Sign" button. Clicking this button will generate your “signature;” you do not enter your name by typing it in. Once you have signed the evaluation, submit it by selecting the "Send Forward" button.

    To begin the 2010 performance cycle:

  8. If you did not already meet with your supervisor, ask for a meeting to discuss your SMART goals and identify 3-5 competencies and development activity for 2010.
  9. Enter your SMART goals under the goals tab.
  10. Select your competencies from the list under the competencies tab.
  11. Enter your development activity under the development planning tab.
  12. Send your 2010 form forward to your supervisor for review and approval of your SMART goals, competencies, and development activity.
  13. Your supervisor will select “Send Forward” to return the form to you. You may wish to update progress on your goals over the next six months.
  14. After about 6 months, the system will prompt you to do an interim self-evaluation (recommended not required) You will then select "Send Forward" to push the 2010 form forward to the supervisor, who will also do an interim evaluation. Once the supervisor’s interim evaluation of the employee is complete, the form is "Sent Forward" to return the form to you. You may wish to update progress on your goals over the next six months.
  15. In approximately 6 months, the system will prompt you to complete your annual self-evaluation and begin the 2010 evaluation process.
