| Gov.
Warner has authorized the equivalent of three days to be added
(24 hours) to the Commonwealth of Virginia holiday schedule.
This time will be observed in the Academic Division (Agency
207), but does not apply to Medical Center (Agency 209)
employees.
For University classified employees, these additional
hours will be considered compensatory "float time" leave. The
hours will be automatically credited to full-time salaried
classified and research assistant leave balances. Hours for
part-time qualifying employees will be pro-rated.
The time will be credited to qualifying
classified employees' comp special leave balances on the date
designated by the State, and must be used within 12 months of
the date earned. Following are the dates the time will be
credited to balances:

For general faculty, the additional 24 hours of leave
should be worked out with individual managers, and must be used
within 12 months.
Essential University operations will be maintained as usual,
requiring some employees to work on a designated holiday (see
list below).
While managers are asked to give maximum consideration to
employees' preferences for using this leave, they must
coordinate it so offices are adequately staffed to provide
uninterrupted service to the public.

Additional Holiday Information:

Employees who are required to work on any of the above listed
holidays will earn compensatory special earned leave.
- To be
eligible for holiday pay, a University (Agency 207 or 246)
employee must have worked 50 percent of the last scheduled
work day before and 50 percent of the first scheduled work day
after the holiday or have charged such scheduled time before
and after the holiday to earned leave balances. If either of
those conditions is not met, the employee may not be paid for
the holiday.

Employees who are resigning or retiring at the end of the pay
period (Dec. 24, 2003) must work or charge available leave
the last scheduled day (Dec. 23, 2003) to receive payment for
Dec. 24. To process employee separations in the HRMS,
termination dates should be Dec. 24 to receive full payment of
dollars and time awarded. Please do not enter a term date as
Dec. 23.
- New
employees hired Dec. 29, 2003, which is the first
scheduled workday for the pay period beginning Dec. 25, will
receive holiday pay for Dec. 25 and Dec. 26, 2003. In the
HRMS, hire dates should be Dec. 25, 2003 in order to receive
full payment of dollars and time awarded during this pay
period.
- Employees
in the Academic Division who have leave questions regarding
these additional holidays should contact the University Leave
Center at 4-1426 or 4-4404.
