MEMORANDUM

DATE: August 13, 2002
TO: Deans, Department Heads and Other Administrative Officers
in the Academic Division (Agency 207)
FROM: Thomas E. Gausvik
Chief Human Resource Officer
SUBJECT: Colorado State Football Game

On July 30th you received a memorandum from Leonard Sandridge, Executive Vice President and Chief Operating Officer concerning the University's preparation for the Colorado State Football Game to be played in Scott Stadium at 7:30 p.m. on August 22. Mr. Sandridge stated that the purpose of advance preparations was to minimize any disruption to the routine operations of the University.

The University will maintain all normal operations during that day but departments are authorized to use their discretion in the numbers of employees that will be required to maintain the appropriate services. Certain operations are better suited to modified scheduling than others and in cases in which staffing and schedules cannot be modified then employees will be expected to report to work as usual regardless of their parking situations. A grace period for late arrival or early departure will not be granted.

For those operations that can support it, managers are encouraged to use modified schedules to help alleviate traffic congestion in the University area on Thursday, August 22. Typical modifications to employee schedules that the school or department may authorize include:

  • Use of annual or compensatory time for the full or partial shift,
  • Use of four 10 -hour work days the week of August 19 through August 23, and
  • Use of any other schedule the week of august 19 through August 23, which allows the employee to attain forty hours and have a full or partial shift modification for August 22. For example, a modified schedule may include allowing employees to come to work at 7 a.m. and leave at 4 p.m. on August 22.

Normal compensation policies and procedures remain in effect.

Questions regarding employee scheduling may be directed to Rose Mundie at 924-1426 or e-mail RWM5Z@virginia.edu.
