| How to Hire a Staff Employee |
The hiring official is responsible for making the final selection decision from the candidates referred by University Human Resources. University Human Resources is responsible for making all staff job offers to ensure institutional compliance with state, federal and University hiring policies and procedures. A Recruiter in University Human Resources Specialist works with the hiring official to negotiate the employment offer terms and extends the offer on behalf of the University. The hiring process is outlined below:
Hiring Official
- Reviews candidate information referred by University Human Resources and selects candidates for interview
- Conducts interviews with top candidates (minimum of two interviews required)
- Conducts reference checks on final candidates
- Hiring Official or, if hiring is handled centrally, the School/Department contact submits a Job Offer Request Form to University Staffing
University Human Resources
- Recruiter discusses terms of employment offer with hiring official or school/department contact
- Recruiter ensures candidate's references are checked
- Recruiter documents the offer terms mutually agreed upon and contacts candidate
- Recruiter extends conditional job offer to candidate, pending satisfactory results of criminal record check, satisfactory results of drug/alcohol test for safety sensitive positions, and/or proof of licensure or certification for positions requiring special licensure or certification
- Upon receiving satisfactory results of criminal check, drug/alcohol tests, and/or proof of required licensure or certification, the Recruiter contacts candidate to finalize terms of offer, including salary and start date. If candidate does not initially accept the offer terms, the Recruiter will work with the candidate and hiring official or department contact to negotiate terms acceptable to all parties. After terms are agreed upon and the offer is accepted, the Recruiter schedules a benefits appointment prior to the new employee's start date OR if the candidate declines the offer or if results of the checks are unsatisfactory, the Recruiter notifies the department to determine whether an offer should be made to an alternate candidate or the vacancy should be reopened and recruitment continued
- University Human Resources keys the hire into the HRMS system.
- School or Department's HRMS Specialist sets up the new employee in Labor Distribution (LD).
