Memorandum: Benefits Open Enrollment 2006

SUBJECT: Benefits Open Enrollment Begins November 6

Benefits Open Enrollment begins Monday, November 6th. Open Enrollment provides an annual opportunity for you to choose between available health programs, add or drop a spouse or dependent from the UVA Health Plan, or sign up for a Medical Reimbursement or Dependent Care Reimbursement Flexible Spending Account (FSA). It also gives you a chance to consider the other benefits that are available to you, such as the Tax Deferred Savings Plan and Long Term Care Insurance, even though you may sign up for these benefits at any time during the year.

Again this year, registered e-mail users are being notified about Open Enrollment electronically. All the materials that you will need for Open Enrollment, including a description of the changes to the health plan, premium information, and FSA enrollment material, are available at www.hrs.virginia.edu/openenroll.html. Use this link to access the Welcome page, click on your employee group, and review or print out the materials you need at your convenience. If you are a Medical Center employee who earns Flex Dollars, you will also receive your personalized Benefits Statement via Messenger Mail.

Important highlights of this year’s Open Enrollment:

- Open Enrollment begins on Monday, November 6, and ends on Friday, December 1. All Open Enrollment paperwork must be received by 5 p.m. Friday, December 1 at the UHR Office of Employee Benefits, 914 Emmet Street, P.O. Box 400127, Charlottesville, VA 22904-4127; fax: 434-924-4486. A drop box is available to the left of the entrance to Michie South, 914 Emmet Street. Tax law requires strict adherence to the Open Enrollment deadline, and there will be NO EXTENSIONS of the December 1 deadline.

- New benefit enhancements for 2007 include an increase in the annual maximum for dental services to $1500.00 per participant per year and an extension of restorative physical, occupational, and speech therapy services beyond 90 days. Details regarding the plan changes, along with other frequently asked questions, are available at www.hrs.virginia.edu/openenroll.html

- The Fall Resource Fair featuring our benefits vendors, including Southern Health, United Concordia, PharmaCare, Flex America, the Standard, Liberty Mutual, Prudential, VRS, TIAA-CREF, Fidelity, and Vanguard, among others, will be held on Thursday, November 9 at Newcomb Hall from 9 a.m. to 2 p.m.. The Office of Employee Benefits will present information sessions about this year’s changes to the health plan at 9am, 12 noon, and 1 pm. A detailed schedule of vendor sessions is available at www.hrs.virginia.edu/openenroll/resourcefair.pdf.

- You will automatically remain in the health program that you chose last year, either the High Premium or the Low Premium plan. If you wish to switch plans, you must complete a Program Election Form, which is available at www.hrs.virginia.edu/openenroll.html or from UHR.

- Remember that you must sign up for the Dependent Care Expense and Medical Care Expense Reimbursement program (also known as the Flexible Spending Account Program) during the Open Enrollment period if you wish to participate in 2007. FSAs are an excellent way to save on anticipated expenses. Reenrollment is necessary for current participants who want to renew their participation.

- The Office of Employee Benefits will send a confirmation e-mail or post card via Messenger Mail for every form received in the office. If you have not received a confirmation within 10 days of when you can reasonably anticipate that the Office of Employee Benefits received your paperwork, please e-mail us at openenrollment@virginia.edu.
